About the project
Waters & Sons are family funeral directors in Southampton, with multiple branches. I built them an intranet that brings their branches together, so everyone works from the same, up-to-date details for each person in their care.
At its heart are workshop instructions: everything the team caring for someone needs to know. Each one records where the person is being collected from and when, the paperwork that’s been received, such as the green form, release form and both parts of the doctors’ certificates, and the family’s wishes for:
- Jewellery and personal items, and whether each should stay or be returned
- Embalming and viewing
- The coffin, its size, colour and fittings, and who made it
- Clothing, from the family’s own clothes to the gown and frill colour
- What should happen to the ashes
Pacemakers and defibrillators are flagged in red, so they’re never missed. Each instruction is numbered for its branch, can be printed as a PDF for the workshop, and shows a bell on the list when someone’s updated it.
The intranet also keeps an ashes register, tracking which crematorium each person’s ashes came from, where they are now, and when they were collected or a holding letter was sent. Funeral records cover the arrangement itself, from next of kin, the minister and the service to a checklist, invoices and payments.
Instructions and ashes can be searched, finished instructions are archived, and each member of the team only sees what their role allows.
